Privacy Policy

Effective August 13, 2026

The short version: we collect what's needed to run your receptionist and nothing more, we use it only to deliver the service, we never sell it, and when you cancel, your data goes with you.

What we collect

  • Contact form submissions: your name, email, and your message.
  • The build (intake) form: your business details — services, hours, service area, pricing preferences, calendar connection — plus your name, email, and mobile number.
  • Call data, once your receptionist is live: caller phone numbers, call recordings, transcripts, and the details callers share on a call (like a name, address, or job description), processed and stored to deliver the service.
  • Demo calls: if you try the in-browser demo or call the demo line, the call audio and transcript are processed by our voice platform (Retell AI) to run the demo and may be recorded for quality review. It's a demonstration — please don't share sensitive details on one.
  • Newsletter signup (when it launches): your email address.
  • Basic, cookie-free analytics: aggregate page views and referrers via Vercel Analytics. No cross-site tracking, no advertising identifiers.

Call recording & transcription

When your receptionist answers a call, the call may be recorded and is transcribed. That's how the service works: the transcript and summary are what get texted or emailed to you, the recording is what lets a flagged call be reviewed and corrected, and both are yours.

Recordings and transcripts are seen by you and by us (for monitoring and quality review) — no one else. They are never sold, never used to market to your callers, and never used as public material.

Everything is exportable on request at any time. When you cancel, we provide an export on request and then delete your call data — it all goes with you.

Text messages

If you opt in to text notifications — a box you check yourself during setup or in your dashboard settings, never checked for you — we text call summaries to the mobile number you gave us. Message and data rates may apply, frequency depends on your call volume, and replying STOP to any message opts you out immediately. Replying HELP gets you help.

We do not share, sell, or provide your mobile phone number, your opt-in data, or your messaging consent data to third parties or affiliates for marketing or promotional purposes. The only party that handles them besides us is the delivery provider that sends the texts, and only to send them.

How we use it

  • To build, run, and improve your receptionist — including same-day correction of flagged calls.
  • To deliver your messages: transcripts and summaries to the phone number and email you gave us, and as push notifications if you turn those on in the mobile app.
  • To reply to your inquiry and prepare for calls you book.
  • To send the newsletter you signed up for (you can unsubscribe with one click, anytime).
  • To understand, in aggregate, which pages are useful.

What we never do

  • Sell, rent, or trade your information — or your callers' — to anyone, for any reason.
  • Share your mobile number or your text-message opt-in with anyone for marketing. Texting exists to send you your call summaries, nothing else.
  • Add you to the newsletter because you used the contact or build form.
  • Use anything you share in a sales conversation as training data or public material.

Who processes data on our behalf

Like most modern services, we rely on a small set of providers to operate: Vercel (website hosting and cookie-free analytics), Supabase (the database that stores your account and call data), Resend (transactional email delivery), Stripe (subscription billing — card details are entered with Stripe directly and are never seen or stored by us), Retell AI (the voice platform that powers your receptionist's phone number, answering, and transcription), Twilio (text-message delivery), and Expo (push notification delivery to the companion mobile app — carries call details, like the caller's name and reason for calling, and your device's push token, to your phone). Each provider receives only the data required to do its job, and each maintains its own privacy and security practices.

Retention & your rights

We keep correspondence and call data for as long as you're a subscriber, and no longer than useful after that. Email carlos@carboncopydevelopment.com for an export or deletion of everything we hold about you — including recordings and transcripts — typically completed within a few business days, with confirmation when it's done.

Client confidentiality

Client engagements are governed by their own agreements and NDAs where signed, which take precedence over this policy. Nothing shared in an engagement is ever used in marketing without written permission.

Changes & contact
